Job Location: This position can be based at either the DRM office in New Gloucester or Augusta, in combination with hybrid/remote work options. This position includes periodic travel between both offices.

Disability Rights Maine, a progressive non-profit organization whose mission is to advance justice and equality by enforcing rights and expanding opportunities for people with disabilities in Maine, has an opening for a full-time Administrative Coordinator to join our team.

Position Summary:

DRM is seeking a detail-oriented individual with strong administrative and interpersonal skills to provide comprehensive support to our staff. Support includes coordinating with our 3rd party IT provider, assisting staff directly with all Microsoft programs, assisting with virtual and in-person meetings and trainings, general office duties, and direct support of the CFO and Executive Director.

This role demands a candidate committed to furthering DRM's mission by supporting its staff and requires strong organizational and multitasking abilities, excellent communication skills, and proficiency in office software applications. The ideal candidate will possess a proven track record of autonomously managing office operations, adeptness in prioritization and adaptability to shifting demands while ensuring key tasks are promptly addressed and resolved.  

Responsibilities:

  • Assist the Executive Director with Board of Directors-related correspondence, including drafting, editing, and proofreading.
  • Assist with HR and employee relations administrative tasks as needed.
  • Schedule and host internal and external in-person and virtual meetings through Zoom and Microsoft Teams, including arranging interpreters and other accessibility accommodations.
  • Coordinate travel arrangements for staff as needed.
  • Assist with moving file boxes and assembling office furniture.
  • Liaison with 3rd party IT Support services, research, and assist with assistive technology for programmatic and staff use.
  • Monitor hardware and software usage within the agency; maintain agency equipment inventory.
  • Prepare computers for new employees, ensuring all appropriate software is installed.
  • Train new employees in technology and software used by the agency.

Qualifications:

  • A high school diploma plus five years of performing administrative duties including IT in a professional setting. An associate or other business degree can be substituted for two years’ experience.
  • Demonstrated IT understanding and administrative skills.
  • Demonstrated ability to draft correspondence and basic business documents.
  • Basic Project Management skills.
  • Ability to manage multiple priorities.
  • Ability to work regular eight to five office hours.
  • Ability to work as part of a team.
  • A commitment to economic and social justice.
  • Respect for people with disabilities.

Compensation and Benefits.

Benefits include: employer-funded health and dental insurance with an option for vision; employer-funded life insurance; employer 401(k) match of up to 4% of salary; long-term disability insurance; and 14 paid holidays, paid parental leave, generous vacation and sick leave; and optional hybrid work schedule.

Salary range: $50k-$60k
